JOB TITLE: Executive Assistant
REPORTS TO: CEO & President
ESSENTIALS DUTIES AND JOB RESPONSIBILTIES INCLUDE BUT NOT LIMITED TO:
- Researching company industry, competitors, press media pickup and business objectives.
- Coordinate interview and develop talking points for clients
- Manage client meetings by sending calendar invites
- Ability to start Zoom meetings
- Lead internal brainstorming sessions
- Proficiency in Marketing Maven tech stack: Cision, Asana, Slack, Meltwater, Microsoft Office, Coverage Book, SimilarWeb, SproutSocial & HubSpot
- Responsible for daily time input on Zenefits and Clockify
- Coordinate and execute internal meetings
- When possible, attend industry events and trade shows
- Assist in the development and implementation of the company’s brand strategy
- Understanding how to write copy for various types of content: email, social, blog, etc.
- Day to day client contact
- Manage multiple projects simultaneously
- Maintains executive’s appointment schedule by planning and scheduling meetings, conferences teleconferences and travel.
- Welcomes guests by greeting them and preparing a welcome sign per each guest and ensuring that the refrigerator is stocked in the conference room
- Maintains office supplies inventory by checking stock monthly to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies.
- Record meeting discussions, as needed
- Purchase and prepare for both internal birthday and anniversary celebrations.
- Complete travel itineraries for the CEO to include daily schedule, travel, hotel and car information
- Schedule meeting for daily trade show management
- Complete and track CEO’s monthly mileage
- Prepare Monday Maven Meeting agenda
- Maintains professional and technical knowledge by attending educational workshops
- Participating in professional societies
- Secures information by completing data base backups
- Assist with organizing quarterly employee event
- Complete errands for CEO as needed
- Track proposals via HubSpot
- Deploy emails via HubSpot
- Share forecasts via HubSpot
- List segmentation and list hygiene via HubSpot
- Take meeting notes
- Review meeting agendas
- Proofread documents
- Prepare call recaps

EDUCATION AND EXPERIENCE REQUIREMENTS:
- Bachelor’s degree Preferred
