    JOB DESCRIPTION

    Community Outreach Coordinator

    Concentration on Volunteer Wrangling, In-kind Donations and Social Media

    6-8 hours maximum a week

    *can expand post pandemic

    For this multi-program organization, the Community Outreach Coordinator is responsible for assisting the Junior Executive Director and other members of the F4TC management team in task management. This is a self-starting position responsible for corresponding with volunteers on a monthly basis and keeping count on expected attendance for meetings, first Wednesday of every month. Once Covid-19 restrictions are lifted, this position will oversee volunteer coverage for larger events along with soliciting local business for in-kind donations (food, coffee, prizes etc.).

    In addition to working with our volunteers, this position includes twice weekly posts on social media platforms, with particular attention in growing the Fit4TheCause_Voices Instagram Page.

    Volunteer Coordination

    • Develop recruitment strategies for specific volunteer needs.

    • Devise monthly reminders to veteran volunteers and new recruits about the monthly Town Hall volunteer meeting in Oak Park, 6-8PM.  (During Covid, we meet via Zoom).

    • Work with Junior Executive Director (or other team members) in reviewing existing volunteer materials and revise them accordingly.

    • Assist in evaluating the skill, experience, and professional development needs of all volunteers.

    • Instill a sense of accountability among volunteers by modeling oversight of individual and organization performance standards.

    • Build relationships with volunteers and motivate them often.

    • Supervise volunteers by articulating expectations, displaying model behavior, maintaining open lines of communication and being clear about roles and relationships.

    • Maintain an ongoing database of volunteers and hours that they work; keep database updated and current with active volunteers.

    • Maintain volunteer coverage charts for events & programs as ascertained at monthly meetings.

    • Ensure food and beverage for monthly meetings through communication with host.

    • Ensure printing of necessary materials for handouts at volunteer meetings.

    • Liaise with other team members to encourage outreach for ongoing in-kind donations including auction items and raffle prizes for special events.  

    • Brainstorm with team members about fun ice-breaking games/contests at volunteer meetings and ensure prize availability.  

    Social Media Development and Outreach

    • Researching audience preferences and discover current trends.

    • Creating engaging text, image and video content.

    • Designing posts to sustain readers’ curiosity and creating excitement around new classes, events and offerings.

    • Monitor social media accounts’ layout.

    • Implement new ways to attract prospective followers/participants/donors.

    • Update program schedule regularly and add to social media platforms

    General Team Administration

    • Demonstrating a clear understanding of required tasks and by responding to requests in a timely manner.

    • Understanding the many tracking systems utilized by other staff, interns and volunteers.

    • Devising and tailoring independent tracking systems to be able to keep track of activities in the most efficient manner possible.

    • Helping the team plan and coordinate large-scale fundraising events in conjunction with event volunteers, event planners and special event committee members.

    • Assisting with the oversight, facilitation and organization of smaller events within the community.

    • Assisting with sponsorship leads and management.

    • Familiarity with all documents in the Fit 4 the Cause Google Drive, importing to your own desktop if necessary.  

    • Communicating with internal and external constituents as necessary.  

    • Understanding the many tracking systems utilized by interns, staff and volunteers.

    • Knowledge of software platforms created for event checklists. Devising independent tracking systems for all activities in the most efficient manner tailored to your preference.
