    Position Title:     Volunteer and Event Coordinator
    Salary:                  $20 to 22 per hour commensurate with experience. Hours: 15 to 20 per week. Flex hours available.

    Description:
    Oversees Volunteer schedules and marketing efforts and acts as the primary point of contact for all Events (Golf Tournament, Military Observances, Community Outreach, Street Fairs, Veteran Specific Services). In addition, the position directly supports Senior Staff and Management in an Administrative capacity assisting with patient interactions, record keeping, reporting and occasional data entry of client records.
    They are the primary point of contact and coordinator for all GCVF Events listed on page two.
    Their job is to hire and train Volunteers for a variety of projects or events and create Volunteer schedules to maintain business operations. They may also be responsible for providing high school or college-aged Volunteers with verification documents so that they can receive credit for their volunteer hours.
    They work closely with local schools and other institutions to connect with Volunteers, corporations, and government entities to maintain a strong volunteer-base and participation in GCVF Events. We currently have 20+ events each year which require extensive volunteer support and supervision. Volunteers report directly to the Volunteer and Event Coordinator. They attend events, assist in setting up booths, and supervise the volunteers at these public events.
     
    Duties:
    • Recruiting, training, and supervising new volunteers.
    • Collecting volunteer information, availability, and skills, and maintaining an up-to-date database.
    • Using marketing tools such as outreach programs, e-mails, and volunteer databases.
    • Keeping new and existing volunteers informed about the organization and volunteer opportunities.
    • Matching volunteers to opportunities that suit their skill sets, and ensuring they understand their responsibilities and receive the proper training.
    • Greeting office visitors, patients and volunteers in the reception area.
    • Supporting donor record data entry.
    • Enrolling volunteers in NEON, in our central database.
    • Assisting Accounting Department with occasional data entry and donor acknowledgements.
    • Answering phone calls.
    • Organizing training and leading on-the-job training.
    • Keeping schedules and records of volunteers' work.
    • Preparing codes of conduct and operating procedures to uphold the organization's values.
    • Ensuring the organization's purpose is conveyed to the public.
    • Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
    • Manage all event set-up, tear down, and follow-up processes.
    • Participate in creation and maintenance of event budgets.
    • Book venues, entertainers, photographers, and schedule speakers.

    A volunteer coordinator is frequently the main point of contact with the public. The job requires effective interpersonal and public speaking skills.
     
    The employee is responsible for managing and supervising large groups of volunteers. The coordinator must be able to effectively communicate the organization’s mission with volunteers and provide frequent updates to board members.
     
    The success of an organization that depends on volunteers relies on its ability to motivate others to support the mission. The volunteer coordinator must be able to motivate, inspire and retain volunteers willing to donate their time for little to no financial compensation.
